Multi-tenant property cleaning coordination
A Nighttime Cleaning Handoff Plan for Multi-Tenant Properties
A multi-tenant property can have several cleaning responsibilities operating behind the same front door. The landlord may manage common areas, individual tenants may control their suites and separate vendors may handle specialized spaces. A useful nighttime cleaning handoff explains those boundaries before service begins, then gives the crew one current route, one approved contact process and a clear way to report conditions that affect the work.
Draw the responsibility boundary before choosing a schedule
List the spaces controlled by property management, each tenant and any other service provider. Common lobbies, corridors, elevators, shared restrooms and building entries may sit under the landlord’s scope, while offices, break rooms and internal meeting rooms remain with a tenant. Do not assume that one contract or access badge means every room is included.
For each area, record who requests service, who approves a scope change and who receives routine service communication. If a tenant already has its own cleaner, note the physical handoff points so the property crew does not duplicate work or enter a space that has not been assigned to it.
Build one room-and-service map for the approved route
Create a room list or floor plan showing the approved nighttime route. Mark common areas, included tenant spaces, excluded rooms, janitorial storage and ordinary waste collection points. Add building-specific names that match signs and keys so the crew is not asked to interpret several informal descriptions for the same location.
Place the recurring task and frequency beside each included area. A lobby, shared restroom and tenant conference room may all receive service, but at different intervals. Keep periodic projects and separately quoted work distinct from the ordinary route so a floor-care visit does not silently become part of every service night.
- Which common areas are managed by the property?
- Which tenant suites are included, and which are excluded?
- What tasks and frequency apply to each included area?
- Where do the approved waste and supply routes begin and end?
- Who may authorize a permanent or temporary change?
Coordinate access windows without circulating credentials
Confirm the approved entrance, parking or loading location, elevator or stair route and service window for each included floor. Tenant operating hours can differ. A suite that closes at 5 p.m. and a neighboring office with a late shift need separate release instructions even if they share a corridor.
Keep badges, keys, codes and alarm details inside the property’s secure access process. The general handoff document should identify the authorized roles and the action to take when entry fails, not expose the credential itself. If a tenant remains late, define whether the crew returns later, records an exception or follows another approved process.
Separate tenant waste from building collection responsibilities
Map the ordinary waste and recycling path from each included area to the approved building collection point. Clarify whether the janitorial crew empties tenant bins, common-area bins or both, and who manages unusual items, electronics, confidential materials, renovation debris or other waste outside the recurring scope.
Give tenants a simple rule for materials that must not be discarded. The cleaning team should not decide whether an unmarked box, equipment part or stack of documents is trash. If building operations change a collection room or route, property management should issue one updated instruction and confirm the effective date.
Assign supply and dispenser ownership by area
Identify who purchases toilet tissue, paper towels, soap, liners and other agreed consumables for common restrooms, tenant spaces and shared break areas. Replenishing an approved dispenser and purchasing replacement stock are different responsibilities. The handoff should say who checks stock, who receives a low-inventory notice and who places an order.
Use separate labels or inventory records when building stock and tenant stock share a storage area. Record compatible product types and normal storage locations without placing access codes in the inventory. If a dispenser changes, confirm that the replacement supply fits before the new responsibility takes effect.
Use one contact path for exceptions and changes
Choose a property contact for normal service communication and a backup role for time-sensitive building conditions. Tenants can report concerns through the approved property process rather than giving different instructions directly to individual crew members. A useful note identifies the date, area, agreed task and observed condition, then assigns the next action.
Treat temporary occupancy, a locked suite and a requested scope addition as different events. A late meeting may create an exception for one visit; repeated access problems may require a schedule review; an added tenant suite requires an assessed scope and approval. Record which category applies so temporary accommodations do not become undocumented obligations.
Review the handoff after the first month and after tenant changes
After a representative operating period, review a few common areas and included tenant spaces at comparable times. Check whether the room map, service frequencies, access windows, waste route and supply responsibilities match actual use. Close resolved exceptions and update the current document when both parties approve a lasting change.
Repeat the review when a tenant moves in or out, a floor is reconfigured or building hours change.
